Event Refund Policy

We understand that unforeseen circumstances can arise, so we have established the following event refund policy to ensure clarity and fairness for all attendees.
Effective Date: 03/10/2024

1. Eligibility for Refunds

Refunds will be considered under the following conditions:

Event Cancellation by CineRPG CIC: If an event is canceled by CineRPG CIC due to unforeseen circumstances, we will offer a full refund to all ticket holders.

Event Postponement: If an event is rescheduled to a new date or venue, ticket holders will be given the option to:Attend the rescheduled event, orRequest a full refund.

Attendee Cancellation:
If you need to cancel your attendance:Up to 7 days before the event: You are eligible for a full refund. Between 3 and 6 days before the event: You are eligible for a 50% refund. Less than 3 days before the event: No refund will be available due to logistical and operational costs already incurred. Refunds will be equal to the monetary value of the ticket purchased, whether it is a standard ticket or a ‘pay-what-you-can’ entry fee.

2. How to Request a Refund

Refund requests must be submitted in writing via email to matt@cinerpg.com with the subject line:
“Refund Request – [Event Name].”

The following details must be included in your request:

  • Your full name
  • Event name
  • Booking reference or ticket number
  • Reason for the refund request (if applicable)


Refunds will typically be processed within 7-10 business days from the date of approval.

3. Non-Refundable Items

Membership Fees:
CineRPG CIC membership fees are non-refundable, as membership grants ongoing benefits beyond individual events.

Donations:
Donations made to CineRPG CIC or our charity of choice (GamesAid) are not eligible for a refund.

Service Fees:
Any booking or third-party service fees related to the ticket purchase are non-refundable, as these are retained by the payment processing provider.

4. Ticket Transfer

In the event you are unable to attend, you may transfer your ticket to another person. To transfer your ticket, please contact us at matt (at) cinerpg.com no later than 24 hours before the event with the full name and contact details of the person who will be attending in your place.

5. Special Circumstances

We understand that emergencies or extenuating circumstances can occur. If you experience a serious, unexpected event (e.g., medical emergencies), please reach out to us directly via email (see address above), and we will review your case on a discretionary basis.

6. Online and Hybrid Events

If CineRPG CIC is unable to deliver the event due to technical issues on our end, a full refund will be offered. If an attendee experiences technical issues preventing their participation, refunds will be considered on a case-by-case basis, provided we are notified during the event.
